Every event submitted to Hub is automatically reviewed by our AI system (Google Gemini) before going live. This document explains exactly what the AI looks for, what decisions it makes, and what happens in each case. Understanding these criteria will help you get your events approved quickly.
Most well-described events from Hawke's Bay are approved instantly — usually within 60 seconds of submission. The clearer and more complete your submission, the faster it goes live.
1. How the Review Works
When you submit an event, our AI reviewer evaluates the following fields:
- Title — Is it a clear, real event name?
- Category — Does the category match the event?
- Venue / Location — Is this a real, plausible Hawke's Bay location?
- Date — Is there a specific date?
- Price — Is the price realistic?
- Description — Does the description make sense for the event?
The AI does not see your name, email address, or account history — only the event content itself.

2. The Three Possible Outcomes
Published immediately. Your event goes live on Hub within seconds. You'll receive a notification in your business portal.
- Clear, descriptive event title
- Real Hawke's Bay venue or location
- Specific date provided
- Description matches the category
- Price is realistic (under $500)
- Content is appropriate for all audiences or clearly age-gated
- No signs of spam or fabrication
Sent to a Hub team member for human review. Your event stays pending — usually resolved within 24 hours on business days.
- Missing description or very brief description
- No venue specified
- Ticket price above $500
- Location outside Hawke's Bay
- Unusual combination of details that needs context
- Category doesn't clearly match the event type
- AI was uncertain and chose caution
Not published. You'll receive a notification in your portal and a follow-up email with the reason. You can appeal or resubmit.
- Spam, test entries, or placeholder text (e.g. "asdf", "test event")
- Gibberish or completely incoherent content
- Offensive, hateful, or discriminatory content
- Illegal activity (unlicensed gambling, drug promotion, etc.)
- Adult/sexual content
- Clearly fake or fraudulent listing
- Content that violates our Acceptable Use Policy

4. How to Write an Approvable Event
Follow these guidelines to get approved on first submission:
Title
Use the actual event name. Include the headline act or key feature if relevant. Avoid all-caps, excessive punctuation, or vague titles like "Great Night Out."
Good: "Stone Temple Pilots Tribute Night — Live at Paisley Stage"
Avoid: "AMAZING LIVE MUSIC EVENT!!! DON'T MISS IT!!!"
Description
Write at least 2–3 sentences describing what the event actually is. Cover: what happens, who it's for, what to expect, and any important details (parking, dress code, age restrictions).
Good: "Join us for a night of live jazz at The Cabana. Featuring local favourites The Bay Quartet, this relaxed evening is perfect for couples and jazz lovers of all ages. Doors open at 7:30pm, show starts at 8pm. Tickets include entry and one complimentary drink."
Avoid: "Music event. Should be fun."
Venue
Include the specific venue name and suburb. "Napier, Hawke's Bay" is acceptable but a named venue (The Cabana, Toitoi, Clive Showgrounds) helps the AI confirm it's a real location.
Category
Pick the category that best fits the main type of event. If it spans multiple (e.g. a Food & Music festival), pick the dominant one. Mismatched categories trigger a flag.
Price
Enter the actual ticket price in dollars, or "Free". Avoid vague entries like "from $X" or "check website" — these may trigger a flag. Prices over $500 always require human review.
5. What Happens After Each Decision
After Approval
- Your event is immediately visible on Hub to all users
- A notification appears in your portal's Notifications tab
- You can edit the event at any time — edits to a live event will trigger a re-review
After a Flag
- Your event stays in "pending" status — it is not yet visible to the public
- A Hub team member will review it manually, usually within 24 hours on business days
- You may be contacted at your business email for clarification or additional details
- Once approved by a human, your event goes live immediately
After a Decline
- Your event is not published
- You receive a notification in your portal with the stated reason
- You also receive a follow-up email with the reason and appeal instructions
- A decline does not affect your account standing or your ability to submit future events
- You may revise the event and resubmit at any time
⚠️ If you edit a currently live event, it will be sent back through the review process and temporarily moved to "pending" while re-reviewed. This usually takes under 60 seconds.
6. Appealing a Declined Event
If your event was declined and you believe the decision was incorrect, you have two options:
Option 1 — Revise and resubmit
Read the decline reason in your Notifications tab. Update your event to address the issue and resubmit. The revised submission goes through the same review process fresh.
Option 2 — Request human review

Tell us the event name, your business email, the decline reason you received, and why you believe the decision was incorrect.

A Hub team member will review your event manually and contact you with the outcome. If approved, it goes live immediately.
7. AI vs. Human Decisions
The AI handles the majority of approvals — it's fast, consistent, and available 24/7. However, all AI decisions can be reviewed by a human:
- All flagged events are reviewed by a Hub team member before any decision is made
- All declined events can be appealed for human review (see Section 6)
- Hub reserves the right to override any AI decision — in either direction
- Human reviewers may approve events the AI declined, or decline events the AI would have approved, where there is good reason
The AI is a tool to make the process faster — not the final word. Every business on Hub has access to a human reviewer on request, always within 2 business days.
8. Platform Standards All Events Must Meet
Regardless of AI or human review, all events on Hub must comply with our platform standards at all times:
- The event must take place in Hawke's Bay, New Zealand (or be of direct relevance to the Hawke's Bay community)
- All event details (date, venue, price, description) must be accurate at the time of listing
- If event details change after approval, the organiser must update the listing or notify Hub immediately
- Events must comply with our Acceptable Use Policy
- Organisers must have the authority and any required permits to run the event
Hub reserves the right to remove any approved event at any time if we become aware of a violation of these standards, our Terms, or our AUP.
